User Groups

User Groups are designed to streamline the learning experience and support a "Bring Your Own Device" (BYOD) approach to accessing content:
  • Admins have the ability to create User Groups and associate Learners with one or more groups.
  • User groups can be used to separate data by location, department, time frame, or cohort (e.g. HR Dept, Chicago Launch, Fall Semester 2023).
  • Session data sent to Perform will now include the associated User Group, enabling custom analytics and a more comprehensive understanding of Learner performance. Org admins and instructors will now be able to filter performance by user groups on the performance page.
    • Upon customer request, Moth+Flame can whitelist one or more email domains for your organization. In this case, an administrator would not need to add learners' email addresses to User Groups to enable learner-tracked analytics (any learners who sign in with a whitelisted domain would automatically have their session tied to them within your organization).

    What this means:

    • User groups can be created on the “User Management” page.
    • Access User Management from the menu in the portal. This option is only visible to org admins.
    • Admins can add users to one or more groups and filter performance by user groups.
    • Admins can now add Learner email addresses in bulk to enable learners to identify themselves on the learning app and have their data associated with them and their group.

    FAQ:

    1. What happens to session data if a learner is removed from a group?
    The group the user was in when they completed their session will remain with that session data, even if the user changes to a different group later.
     
    2. What benefits could I draw from session data that is tied to User Groups?
    Here are a few examples:
     
    Example 1: Learner Performance Comparison across Different Years
    With the enhanced functionality of the Perform web portal, administrators can easily compare the performance of a learner, John, who undergoes the same immersive learning experience in different years. Even if John is removed from one User Group and added to another, the session data associated with his learning experiences in both years will be preserved. This allows administrators to analyze and track differences in John's performance over time, enabling a comprehensive assessment of his learning journey and identification of areas of improvement or progression.
     
    Example 2: Tracking Location-Based Key Performance Indicators (KPIs)
    The new functionality of the Perform web portal ensures the continuity of location-specific key performance indicators (KPIs) in a multinational company. When an employee, such as Sarah, changes their work location and group affiliation, the session data associated with their learning experiences in different locations is retained. This enables administrators to monitor and evaluate location-specific KPIs accurately, assessing the impact of training initiatives across different locations and making informed decisions based on comprehensive data. The preservation of session data, regardless of group or location changes, provides administrators with a holistic view of organizational progress and empowers data-driven decision-making.
     
    3. What happens if a Learner identifies themself in the Moth+Flame App with an email address that has not yet been added to the User Management page in the portal?
    The session for that Learner will still be counted. However, that Learner will not show up in the User Management page (and therefore will not show up in any User Groups) until that email address is added by an Admin on the User Management page. The csv download of the performance analytics data will still show that Learner's email address in the row for their session.
     
    4. What happens if a Learner's email address is added to a group while they were already in a different user group, or ungrouped?
    The Learner's data will be recorded in each group they were a part of and the downloadable csv file will contain a column that separates each user group by a comma for that Learner's session.
