A learner code (shown as a Reg code on the learner's row) is each person's personal key into a course. The learner types it into the learner app to open their own progress, scores, and assigned activities. Every learner gets their own code, and that code follows them through the whole course.
Create a new learner code whenever you're adding someone to a course for the first time — for example, onboarding a new participant who needs to start the Leadership Development Course from the beginning.
From the admin portal, open the user menu, go to Settings, open the Org Admin card, and choose Learners. Find the group tied to the course you're enrolling into — each group is connected to a single course. Here that's the Leadership Development Course group.
Expand the group, then click Add Learner. The Add New Learner dialog opens.
Type the learner's name in the Learner Name field. Every other field — rank, email, unit, role — is optional and can be left blank.
Click Add Learner to save. The new learner appears in the list and their Reg code shows right on their row. That code is what the learner enters in the learner app to begin.
Tip: You don't need email, rank, or any other detail to create a working code — just a name. You can always add more later.
A brand-new code always starts the learner at the very start of the course. To confirm what they'll see first, open Course Builder. The day-by-day view shows the opening activity, and its details panel shows the type. For the Leadership Development Course, the first activity is a Text Message that kicks off the learner's first leadership scenario.
Note: Because the code is new, the learner has no prior progress — they always begin from this first step.
Besides creating individual codes, you can let learners join using a shared group code. There are two common ways this happens.
If you're sharing one device between learners, the current learner can hand it off without you touching the admin portal. In the learner app, open Settings, choose Pass this phone to the next learner, then confirm with Pass it on. The device keeps the same group code and resets to the start, so the next person just enters their own name and email to begin.
The learner opens the learner app and, on the Enter your code screen, types the group code the instructor shared, then taps Continue.
The code is checked and shown as ✓ Verified, along with the course name. The learner is then asked for an email.
Email is required and must be a valid format. If it doesn't look right, an inline message — "That email doesn't look right." — appears and the learner can't continue until it's fixed.
Once a valid email is entered, the learner taps Continue and moves into the course.
Important: If a learner enters an email that has been used before, they're signed back into that existing account instead of creating a new one — so they pick up wherever that account left off and won't necessarily start from the beginning. If you need a clean start for a new person, have them use a fresh email, or create an individual learner code for them instead.
Most often, the email they entered had already been used. When that happens, the system signs them into the existing account rather than creating a new one, so their old progress carries over. To create a truly new learner, use a different email or add the learner directly in Org Admin → Learners.
A text message. A new code always begins at the start of the course, and the opening activity in the Leadership Development Course is a text-message scenario. You can confirm this anytime in Course Builder.
No. Only the learner's name is required to create a working code. Everything else is optional and can be added later.
